If you need to present the information in a Microsoft Word document in the form of a list, then you can not number it manually - 1, 2, 3 ..., and do it with the help of the built-in function in the text editor.

In this article we will look at how to make an automatic numbering of the list in Word, create a bulleted or multi-level list.

The necessary buttons, with the help of which everything is done, are located on the Home tab. There are three of them: one with markers, the second with numbers, and the third with different markers at different levels. Accordingly, the first button is needed to create a bulleted list, the second one is numbered, and the last one is for multilevel.

First, consider how to number the text in each new line. This is used most often. In this case, each new item will begin with a number.

Click in the place of the document where the list should begin. Then click "Numbering" in the "Paragraph" group. It will start from one. Using the markers on the ruler, you can change the indent from the left margin.


To start a new item, at the end of the previous line, press "Enter".

If you need to insert a plain text after any item, then after that, for sure, the question arises: how to continue numbering. To do this, place the cursor in the line where it will be continued and select "Numbering".


A new list will appear on the page. Near the unit, click on the arrow next to the lightning and in the drop-down menu click "Continue numbering".

If you need not 1,2,3, then click on any item and click on the arrow next to the “Numbering” button. Next, select one of the options. If more than one view doesn’t fit, click “Define New Number Format”.

In the window that opens, select what you want to use: numbers or letters. By pressing the "Font" button, you can select additional parameters for the selected number format. To save changes, click “OK”.

If you have references to literature in the document, then all sources at once can be numbered as follows.

Select them and click on the "Numbering" button.

After this, the weighing literature will be automatically numbered. Using the markers on the top ruler, set the desired indent from the left margin.


Documents may contain lists, both normal and automatically numbered. To understand that it is automatic, click near any of the items or select it with the mouse. If after that not one point is highlighted, but all the other numbers will become light gray - it means that it is automatic.


If, on the contrary, you have numbered paragraphs in your document and do not need them, then you can easily remove them. To do this, select the entire list and click on the "Numbering" button. Now all numbers will be deleted.

In order for the list in the text to begin not with a number or letter, but, for example, with a black circle, a square or a tick, let's consider, how to mark it.

If it is already printed, select it, if it is not already there, then place the cursor at the place where you will add it. Next on the Home tab, click the arrow next to the Markers button. In the menu that opens, select the appropriate marker option and click on it. If nothing works, click “Define New Marker”.

The “New Marker Definition” window will open. In the “Marker Mark” field, click on one of the “Symbol”, “Picture” or “Font” buttons. Next you need to select the appropriate image. I chose a character. In the “Sample” field you can see how the marker will look in the text. Click “OK” to save the changes.

If your list consists of a main item, sub-items, explanations of the sub-items themselves, then you need to make several levels for it, so that the data depending on the previous item is marked with a different marker and are located one level below.

Making them is not difficult. Take for example a list with sections and sub-items. Select it and on the “Home” tab, click on the arrow next to the “Multilevel List” button. In the library, you can choose one of the numbering options. If nothing works, click on “Define a new multi-level list”.

In the opened window at the bottom left, click “More” to expand all the parameters. At the top left, select the desired level and in the main window change the parameters for it. For example, “Number format” can be selected “1.” or “1)”. Change the numbering of "1, 2, 3 ..." or "A, B, C ...". You can “Link a level with a style”, in this case, a ready-made style will be applied to the text at the selected level (useful if you plan to make the content in Word), or you can start numbering not any other “1” or “A” letters / numbers. When everything is selected, click "OK".

That’s how it turned out for me, I linked the items with the “Heading 1” style, so the text has changed color, size and font.

As you can see, now my sections and sub-items are on the same level. This is not correct, so let's look at how to work with a multi-level list. Place the cursor on the line for which you want to change the level. On the Home tab, select Increase Indent.

Now the sub-items are at the right level. For example, I have added the line "Third level". To move it to the right place, place the cursor in it and double-click on the "Increase indent" button.

In order to lower the level, place the cursor on the desired line and press the “Reduce indent” button as many times as necessary.
